Dear Sir and R/V/W/Bro/M/E/Comp.,
During his recent visits and interactions with the brethren of various Lodges, the RW Regional Grand Master has taken note of a practice prevailing in certain Lodges concerning meetings of the Permanent Committees.
These meetings are, at times, hosted by junior officers—namely the Wardens, Deacons, and Inner Guards (although he is not a member of the PC)—on a rotational basis, either at their residences or at restaurants, with the host officer bearing the expenses of food and refreshments. It has also been noted that, on certain occasions, meetings are delayed due to the unavailability of the next designated host.
This practice gives rise to several concerns. It places an undue financial burden on junior officers, as such gatherings may involve considerable expense. In situations where an officer is unable to host, it may inadvertently affect perceptions about him, leading to discomfort or unpopularity. There have also been instances where this factor has been cited—directly or indirectly—in considerations related to progression within the Lodge, resulting in disappointment and avoidable discord. At times, the practice has also lent itself to displays of affluence, occasionally fostering groupism, leading to dis-harmony.
Brethren are reminded that meetings of the Permanent Committee are an essential forum for the effective administration of the Lodge. It is here that important matters concerning the Lodge and its members are deliberated and decided. The Worshipful Master is both empowered and expected to convene such meetings as and when necessary, and these should not be delayed due to the availability of a host.
Accordingly, it is advised that meetings of the Permanent Committee be held in a simple and appropriate manner, followed by light tea and refreshments, with the expenses borne by the Lodge. Any additional or liquid refreshments, if served, should be moderate in nature, with the cost borne by the Worshipful Master or shared among the members present.
